The Information Systems and Technology Center (ISTC) at the German Jordanian University (GJU) completed the digitalization of the German Year (GY) information management processes within the MyGJU university portal. In the first phase of the GY, all GJU Bachelor students study for one semester in one of the GJU’s partner universities. Whereas, in the second phase of the GY, the students spend another semester doing an obligatory internship of at least 20 weeks full time with a German company.

The President of GJU, Prof. Manar Fayyad, expressed her pride in this achievement, which was built in house with the efforts of the ISTC Director Prof. Feras Al-Hawari and Eng. Omar Al-Sawaeer in cooperation with the International Office (IO) and Office of Industrial Links (OIL) staff, stating that this project came as a response to the challenges imposed by the occurrence of the coronavirus crisis around the world.

The Vice President for International Affairs at GJU, Prof. Ralf Roßkopf, pointed out that this project led to having clear digital processes and assigned responsibilities to manage the GY information in MyGJU, hence avoiding lots of paper work, improving transparency, and speeding up processes significantly. Not to mention the flexibility and safety in times of a pandemic and staff recess.

Prof. Feras Al-Hawari mentioned that the new software flows in MyGJU simplify the processes needed to manage the information of the study semester and internship semester that the GJU students perform in Germany. They also define clear cut users’ roles and responsibilities, resulting in minimal errors, less paperwork, fast turnaround, and full electronic archival of documents.

Al-Hawari explained that the GY study semester information management flow automatically checks if a student is eligible to apply for the GY. Also, it allows the IO staff to manage the host universities information and assign students to those universities. In addition, it lets the students upload their German language certificates to be validated by the German Language Center (GLC) staff. Besides, it enables the IO staff, GY exchange coordinators, and faculty deans to review the students learning agreements in Germany for approval.

He added that the GY internships information management flow in MyGJU allows students to enter the company information and internship duration, as well as upload the internship contract for approval by the OIL staff. Later, the OIL staff notify students to upload the internship certificates and reports for validation and approval by the related faculties. Finally, the OIL staff specify the internship acceptance information (e.g., year, semester, credit hours, and place) and then approve the internship.
