What is Prodobo and how could it be used at GJU? The Office for Industrial Links and KAFD-CGO at GJU gave a presentation on these two questions on Thursday, 24tt of March 2016 to academic and administrative staff. The presentation was a follow-up on the Process Management workshop that took place in the framework of the DAAD DIES cooperation in November 2015, which introduced Prodobo at GJU.
The Process Management Software Prodobo was purchased through the DAAD DIES cooperation with Aschaffenburg University of Applied Sciences and allows the mapping of repeated administrative processes. The mapping makes task distribution and follow-up easier. As Stefanie Luniak from the Office for Industrial Links (OIL) explained, GJU would benefit from this enormously since it helps to define processes in a clear way and knowledge transfer to colleagues and new staff members is easier and quicker.
AbdulRaouf Al Dwairi from KAFD-CGO then explained that the Office for Industrial Links and KAFD-CGO have recorded the GJU Career Fair as a process into the software Prodobo. The case study realistically illustrated the functions of Prodobo to the participants. This included the recording of individual tasks by each staff member, and then all tasks are mapped into a larger process by the responsible person. While the Career Fair was used as a case study, OIL and KAFD-CGO invited all GJU departments and offices to join in working with Prodobo. The goal is to develop an overall map of processes at GJU. Prodobo will be accessible to all GJU staff and students through their GJU account in the future.
In the lively debate after the presentation, it became clear that the participants agreed on the usefulness of Process Management at GJU. For example, a process map of the German Year would be valuable to the exchange coordinators but also to the students, who are preparing for their German Year to have better information about preparation procedures and responsible contact persons. Prodobo could also be helpful to define Graduation Projects or other class projects’ implementation. An Arabic version of Prodobo is under development.
