About Us

The Digital Transformation Office (DTO) delivers integrated digital services tailored to German Jordanian University’s academic and administrative needs. Its 13-member multidisciplinary team combines systems analysis, software architecture and development, database administration, quality assurance, and website management. This in-house expertise enables GJU to develop, maintain, and extend systems around its institutional priorities.

Working with schools and administrative units, the team automates workflows across departments through electronic submissions, role-based routing, approvals, and notifications. Shared data reduces duplicate entry and improves accuracy. Searchable records and audit trails enable rapid retrieval and traceable decisions, strengthening transparency and accountability. Self-service portals streamline transactions, while managerial dashboards support performance monitoring and informed decision-making.

The team manages development tools, in-house Git version control, application databases, and staging and production environments for university-hosted systems. In coordination with the Information Systems and Technology Center (ISTC), it defines infrastructure requirements and administrative responsibilities, coordinates cybersecurity policies and access controls, and plans OS and software upgrades and multi-tier backups to sustain reliable operations.

Its systems and platforms include:

  • MyGJU Integrated University Portal: Provides role-based access to connected academic and administrative services for students, employees, and university leaders. Supports registration, academic and financial records, employee profiles, payslips, and service requests. Coordinates requests and approvals across university units, with leadership dashboards for reporting and performance monitoring.
  • Student Information System: Manages the student lifecycle from admission through graduation, covering study plans, registration, academic records, grades, GPA, academic standing, graduation eligibility, and certificates. Supports registrar approvals for MyGJU requests and final student clearance. Integrates with HR and financial systems to coordinate academic administration and registration.
  • Financial Management, Student Accounting, and Electronic Payments: Manages budgets, cost centers, commitments, vouchers, and financial reporting. Covers tuition and service fees, scholarships, sponsorships, payments, refunds, account statements, and semester financial closing. Integrates E-Fawateercom collections across university services for students, employees, and external users.
  • Human Resources and Payroll: Unifies organizational structures, employee records, recruitment, promotions, benefits, and training with automated payroll. Integrates MyGJU approvals for vacancies, leave, academic workloads, and clearance. Configurable rules calculate salaries, allowances, deductions, and statutory contributions, supporting retroactive adjustments, payslips, tax statements, reporting, and audit controls.
  • Supplies Management: Covers planning, requests, procurement, receiving, warehousing, inventory control, custody, issuance, returns, and disposal. Integrates supply workflows with financial management. MyGJU enables employees to submit requests, exchange items, and access custody records.
  • External Services Portal (MyGJU Guests): Enables prospective students and other external users to submit admission and job applications, upload supporting documents, and register for training courses. Routes submissions to the responsible university units for review and assigns unique user identifiers for electronic payments through E-Fawateercom.
  • Help Desk, Electronic Correspondence, and Document Archiving: Manages service requests, paperless internal correspondence, and document archives through tracked workflows. Speeds up processing and document retrieval while improving traceability and accountability.
  • Digital Learning and Online Examinations: Moodle-based course delivery with schedules, learning materials, activities, and interactive H5P content. Online examination tools support exam authoring, scheduling, automated grading, and reporting.
  • University Website: Development and administration of GJU’s Drupal-based website, supporting institutional information, academic offerings, news, and public communication.

Through ongoing development, production support, documentation, and training, the DTO keeps these services aligned with GJU’s evolving needs. Its central contribution is connecting academic and administrative operations through university-owned systems, preserving institutional knowledge and providing the technical foundation for sustained digital transformation.
